Here are the meeting notes from the PPS Users Group Meeting on
Wednesday, April 9, 2008 @ HMNSS 1500 from 10:00 to 11:30 am.

 

I.                    I-9 Compliance

Hadley Bajramovic passed out a list of I-9 issues (attached) that were
discussed at a previous meeting between H.R., Payroll, Grad Division,
Academic Planning and Budget and International Scholars.   There were
five major issues:

a.                  How to approach the inconsistencies in the start
date and appointment start - bottom line:  Absolutely all I-9 forms
should be filled out ON or BEFORE the start date.   This may involve
asking future employees to come to the campus and sign the paperwork
before their actual start date.

b.                  Who is the proper agent for off campus verification
of employees?  This item is still pending further discussion.

c.                  Is there a UC-System wide I-9 portability?  The I-9
should also be transferred as are all other documents.   The I-9 should
not have to be filled out again.

d.                  We cannot ask the nationality of non-citizens as
this is seen as possible discrimination.   This is true for the I-9
form.  The UC W-8BEN is given to non-resident aliens to be filled out to
determine how they should be taxed in the payroll system and if they
qualify for a tax treaty.

e.                  Volunteers -Gabe will address this area in a
subsequent e-mail.

 

 

II.                   Summer Session

Lisa Warren provided a hand out (attached) to inform the departments of
key issues regarding summer session hiring.  The number one issue was
"DO NOT SEPARATE SUMMER SESSION EMPLOYEES".   In the past, employees
have had to fill out new hire paperwork which causes a lot of work for
Summer Session.   On the EPER screen in PPS, add D01083 as the alternate
department so that Summer Sessions can get to the employee's record.
All they will do is add an appointment and distribution for the summer.

 

III.                  2008 Retirement Date

The retirement date for 2008 will be July 1, 2008.   The last day on pay
and separation date needs to be June 29, 2008.   This will allow for one
day no pay for retirees wanting the COLA.   If someone retiring wants to
be paid on the pay day of July 1, 2008 and not receive a manual check,
you will need to get written authorization from them since their last
day will be June 29, 2008 and a check needs to be provided to them their
last work day.  Any questions regarding retirement pay date should be
directed to the payroll office.   Any questions regarding other
retirement issues should be directed to Theron Lyon at Benefits.

 

IV.               Jury Duty Pay

Theresa Perez provided a flyer that has been circulated by the Superior
Court of California, County of Riverside, Office of the Jury
Commissioner regarding pay for jury duty. (attached)  It states that any
public entity such as the Regents of the University of California will
not receive jury pay since we are paid regular compensation and benefits
while serving on jury duty.  Further information on this can be found on
the Staff Policy Finder under Jury Duty.

 

For those of you who did not attend, you missed a good meeting.  Julie
Drouyor, presented the jelly bean jar to Adine Clark who had the closest
guess of jelly beans.    Julie also provided gifts for those who had
made a suggestion for upcoming PPS Users Group topics.   She also
graciously provided a thank you gift to Gabe Nwandu and Roberta Nardico.
