R’Mail Migration to Google Mail and Calendar for Retirees and Emeriti
Scheduled for August 21, 2025



The UCR Retirement Center is partnering with UCR’s Information and
Technology Solutions to share important information about the upcoming
R’Mail migration to Google Mail and Calendar, scheduled for August 21,
2025. This transition will affect emeriti and retirees who are still using
Outlook (Microsoft Office 365) for their UCR email and calendar services.

*This migration does not apply to:*

   - Emeriti and retirees who are already using Google Mail and Calendar
   for their UCR accounts.
   - Those who do not have a UCR email or NETID in retirement, including
   those who declined this benefit upon joining the UCR Retirees’ Association.
   - Most retired faculty, as Google Mail and Calendar were already the
   primary tools used for student communication.


*Important factors to consider   *

   - Three (3) years’ worth of emails will be migrated for users moving to
   R’Mail. However, emeriti and retirees can request not to migrate any emails
   or request more than 3 years’ worth of emails (approval is required).
   - Calendar events within the last 30 days prior to the migration date
   and future calendar events are automatically migrated. ITS cannot guarantee
   support for issues that arise from users manually exporting calendar events
   or contacts and importing them into the Google environment.
   - Email contacts saved in Outlook are automatically migrated.
   - After migration, historical email and calendar data in Outlook will
   remain intact and accessible via the Outlook web browser for at least three
   years.



*Key Resources to Prepare for the Migration to R’Mail*

To ensure that emeriti and retirees are well-prepared for the upcoming
change and that specific needs are supported, please follow these
instructions:

   1. *Review the R’Mail Migration Checklist.* Download the PDF file
   <https://its.ucr.edu/document/rmail-checklist> and follow the steps you
   are required to take before, during, and after your migration.
   2. *Watch the on-demand R’Mail training sessions.* To support your
   transition to R’Mail, on-demand training recordings are available
in the Training
   and Resources section of the R'Mail Migration webpage
   <https://its.ucr.edu/rmail#resources>. *ITS strongly encourages* everyone
   to complete training prior to the move, as it covers the most important
   functions and features of Gmail and Google Calendar.
   3. *Visit the **R’Mail Migration webpage* <https://its.ucr.edu/rmail> to
   learn more about R’Mail, including access, FAQs, and training resources.
   4. *Attend upcoming **monthly informational sessions*
   <https://its.ucr.edu/rmail#resources> as needed to learn more about
   the migration and ask questions.
   5. *Communicate any questions or concerns to the UCR Retirement Center
   at retirees at ucr.edu <retirees at ucr.edu> *so we can escalate to the ITS
   project team, as needed.
