[Campus Notice] Action Required: Please Verify Your Department’s Phone Number Assignments for Zoom Phone Migration

Dear Campus Transactor,

As part of the Digital Transformation <https://its.ucr.edu/projects>
initiative, ITS has invested in a unified, modern telephony platform, Zoom
Phone Services <https://its.ucr.edu/zoom-phone-services>, to replace
outdated and soon-to-be unsupported technology. This new, reliable, and
flexible phone service will keep UCR connected and allow everyone to
communicate more effectively and efficiently.

Your department’s telephony service is scheduled to migrate to Zoom Phone
within the next 45 days, and ITS requires your assistance to ensure a
seamless Go Live experience.

As the Campus Work Order Transactor for your organization, we ask that you
validate your respective department’s phone number assignments by the end
of the day on Thursday, July 27, 2023.

Phone line verification is a crucial step to ensure lines are correctly
assigned so as to avoid disruption to your department’s daily operations at
the time of service transition.

How to complete this request:



   1.

   Log into the Communications Work Order System through ServiceNow

   2.

   Review the Extensions and Names assigned under your organization.
   3.

   Compare them with the information found in the Zoom Phone Number
   Assignment
   <https://docs.google.com/spreadsheets/d/1Rld22wAOMoi3H3dn8trV-JtXb8PKT6odxJw9_wvOOdI/edit?usp=sharing>
   spreadsheet. Note that the information from the spreadsheet should match
   the details in ServiceNow. Make corrections directly in the shared
   spreadsheet as needed.
   4.

   It is very important that you review and correct any Shared Line and
   Department Numbers, and ensure that these are noted next to employees who
   should have access to them, in addition to their personal number.


How to use the Zoom Phone Number Assignment

   1.

   Find your assigned Organization’s tab at the bottom of the spreadsheet.
   2.

   Verify the assigned campus phone number for each individual (refer to
   Columns E and F) and fill out their respective department or main phone
   numbers (refer to Column G), if applicable.

Important Note: The cells highlighted in red represent individuals who are
already on Zoom Phone. No further action is needed. The cells highlighted
in yellow mean the same number is assigned to more than one individual. If
the phone number reflected is a department phone number, please move it to
Column G (follow instruction #4 above).

   1.

   Make any needed corrections directly in Column E, Column F, and/or
   Column G of the shared spreadsheet.

Important Note: Do not delete any information in the spreadsheet. If you
find outdated information, please highlight the cell in gray.

   1.

   Once you have completed your verification, please inform the Zoom Phone
   Project Team via email at zoomphonepilot at ucr.edu. Please note that the
   information within this spreadsheet is the information that will be used
   for the cutover to Zoom Phone.
