  *   Per the notice on September 22,<https://sp.ucop.edu/sites/ucpc/UCPathLocationSupport/_layouts/15/listform.aspx?PageType=4&ListId=%7B603E212C%2DEA67%2D411C%2D8A92%2DD54E04054D35%7D&ID=994&ContentTypeID=0x010400CD6B265BED008141B185C22F416B2166> starting from January 1, 2024, the invoicing schedule for employees on benefits when on unpaid leave will change. These employees will be invoiced for the current month. Most eligible employees on leave will not receive an invoice in December since UCPath billed for December coverage in November.




Did you know?  Both the I-9 process and GLACIER processes are necessary to ensure we are in compliance with administering employees that have a nonresident alien (NRA) status

  *   What is a “Tracker”?
     *   Tracker is an electronic I-9 solution all UC campuses adopted to create and track I-9 forms, E-Verify and immigration compliance.
  *   Who updates GLACIER, and do they get the information from Tracker?
     *   When an employee selects “Alien Authorized to Work in the U.S.” on their I-9, the UCPath identification page will update the country to “DEF” and the citizenship status to “Alien Authorized to Work in the U.S.”
     *   GLACIER is a separate process. The employee will work with their location GLACIER administrator to complete their GLACIER record. Once the record is updated and includes the employee's ID number, the information from GLACIER will populate different fields in UCPath, including country, citizenship status.
  *   Do employees upload into UCPath the Foreign Source Income statement and an Out of State Income Tax Withholding form?
     *   All employees who work outside of the U.S., whether U.S. citizens or not, are required to complete and upload together a Foreign Source Income Statement form and an Out-of-State Income Tax Withholding form. This sets the proper tax status in UCPath. Guidance on complete the forms can be found in the reference material below.

  *   How do locations request a refund for incorrectly assessed FICA?
     *   They can submit a case under Topic: Payroll, Category: Tax Withholding Inquiry
