The "Interface" report type can be used to create the "Month to Month Record of Earnings" required by CalHR when a former employee is requesting service credit. Former employees should submit the "Verification of Total State Service<https://www.google.com/url?sa=t&rct=j&q=&esrc=s&source=web&cd=&ved=2ahUKEwidtd6AusnwAhVNsZ4KHd02C3cQFjAAegQIAxAD&url=https%3A%2F%2Fwww.calhr.ca.gov%2FDocuments%2Fcalhr-690.pdf&usg=AOvVaw09nBTWtuW1zM7hhaXVROiq>" form to UCPath requesting the report. Did You Know? Promotions with a pay increase should not be submitted on the same transaction.

§ The position should be promoted first and a separate action should be submitted for the pay increase with the appropriate action / reason.

§ Why? Compensation does not link to position changes.

o If the job code or FLSA status changes, position information will be updated on job data and compensation data will be carried forward from the old job.

o A second transaction is required to ensure the compensation aligns with the position update.

§ Submitting the requests as one transaction can cause incorrect data including pay issues:

o Example: if a position is reclassified and the employee is going from non-exempt to exempt pay, the hourly comp rate will carry forward on the position row and the employee's pay will not be updated appropriately

§ Refer to these job aids for more details:
