Kaiser Permanente – KP HealthConnect System Update


On April 17, 2025, Kaiser Permanente announced updates to KP HealthConnect, its electronic health record system in California. The system connects patients, healthcare providers, and facilities across California, providing access to medical records, test results, prescriptions, and appointment scheduling. The updates are designed to accelerate the delivery of new features, improve data security, and empower members to better manage their healthcare.

System Updates:

The KP HealthConnect updates will be implemented in stages for Northern California and Southern California, with different deployment dates for each region. Communications regarding the updates will be sent in waves to affected Kaiser Permanente HMO members. At this time, details about the number of members impacted and samples of the communication are unavailable.

What to Expect:


  *   Medical Record Numbers (MRN): These will remain unchanged across both systems, and members can continue to view and pay balances via kp.org

  *   Billing Statements: Members with outstanding medical bills prior to the update, as well as new bills generated after the update, will receive two sets of billing statements: one from the legacy system and one from the updated system. Each statement will have a unique account number and applicable due dates.
     *   Payment plans established prior to the system update will remain active in the legacy system. Members can modify these plans or pay off legacy bills by contacting Member Services.

Southern California System Update:

The Southern California KP HealthConnect system is scheduled for updates on May 17, 2025.

  *   Mid-May 2025: Members in Southern California will receive the same outreach and communication as Northern California members. However, specific communication deployment dates are not yet available.

Northern California System Update:

The Northern California KP HealthConnect system was updated on April 5, 2025.

  *   April 17, 2025: Members will receive email notifications explaining that they may temporarily receive two billing statements, along with guidance on next steps and contact information for Member Services.
  *   April 28, 2025: Automated calls will be sent to members with the same information provided in the emails. Those with payment plans in the legacy system will receive additional calls with specific instructions related to their plans.
  *   April 28, 2025: Members will start receiving two billing statements. The legacy system statement will include FAQs addressing the temporary billing changes.
