[Campus Notice] GSMS Update: New Production Release Notes

Dear Colleague,
Last week, the Graduate Student Management System (GSMS) project team
applied new fixes and enhancements to the system. Below is a summary of the
key fixes included in the production release notes

from August 20 and 21, 2026:
Admissions Module

Missing Readmitted Students’ Records: Fixed a Banner setting issue that
caused a readmitted student's record to stay inactive and not sync from
Slate into GSMS.
Employment Module
-
Payroll Processor Email Notifications: Added the Payroll Processor role
as a recipient for initial and revised offer letter notifications.

Sync Logic Updates: Corrected the sync logic so NetID/SID are properly
updated on conflict, without impacting Slate-owned fields. Students are now
able to view Applications.

Chart Selection Logic: Fixed chart selection logic for students with
multiple active programs to ensure funding is pulled from the funded
program record rather than an empty one.

Offer Holds: The system now checks the hold's start date against the
actual term dates, so a hold that applies to a future term no longer blocks
an offer for the current one.

Pagination & Selection-State Persistence: Resolved an issue in
Application Builder where course selections were lost across pages or
section navigation.

Filtered Results Persistence: Fixed an issue where applying for a
position, viewing details, then hitting “Back” cleared the Term filter and
previously filtered results. Filters and results now persist.

Filter Persistence: Fixed the issue where filters reset after
navigation. Filters now no longer reset after using the View/Edit/Back
options on Positions, Offer Management, Employment Applications, and
Submitted Applications.

Naming Exported Files from GSMS: Users can now name export/report files
before downloading, making it easier to save, organize, and rerun reports
(e.g., by department or job type).

Resolved Missing Courses: Fixed an issue where certain active courses
(e.g., LWSO 100, PHIL 007) weren't appearing in the Employment Module
course search due to an enrollment-based filtering issue. All courses are
now displayed by section.

Update on Placeholder Positions: Placeholder positions can now be linked
to a real UCPath position number after creation, via a new revision type or
direct edit.

Employment Information Update: Fixed the issue of the Employment
Information (FTE/increment) auto-populating incorrectly from GradESS when
multiple Support Types were available. These fields now stay blank until a
Support Type is selected, with a clear prompt to select one.
