[Campus Notice] GSMS Admissions Is Ready to Launch!

Dear Colleagues,

The Graduate Division, in partnership with Information Technology Solutions
(ITS), is excited to share with you that the first phase of the Admissions
Module of GSMS will be officially launched on October 30, 2025. Here’s what
you can expect:
Next Steps

Programs will use the GSMS Admissions Module to build the Summer and Fall
2026 financial charts (recruitment packages). If you haven’t already,
please sign up for the training sessions scheduled in November
<https://ucr.zoom.us/webinar/register/WN_V7vU8PKwT0WiZIJKY24Tjg> and
December <https://ucr.zoom.us/webinar/register/WN_xO3w6sxDSeOWbDm8Chmc9w>
to familiarize yourself with the Admissions (phase 1) processes.

All training sessions are recorded and made available as on-demand videos
for anyone unable to attend. Additional training resources, including job
aids, will be available to reference on the October 30, 2025, launch of the
Admissions Module in GSMS.
GSMS Integration with Slate

GSMS works hand-in-hand with Slate, UCR’s recruitment and admissions CRM
tool, to provide a customized view of relevant student data and give a full
picture of graduate students’ experience at UCR.
Moving Away from GradSIS

As we start moving admissions processes to GSMS, you can also expect to
begin moving away from using GradSIS in your day-to-day operations. Given
that the system’s functionality will be available in GSMS, decommissioning
GradSIS will help us modernize the graduate admission process. However,
GradSIS will not be fully retired until Spring 2026.
Key Benefits of GSMS: What’s In it For You?

Implementing GSMS will provide significant benefits, including:

A Central Tool to Streamline and Standardize Processes

   -

   By combining GradSIS and GradESS into one system, GSMS, we eliminate the
   need for separate data integration.
   -

   The system workflow has been updated to account for new roles that were
   not previously factored into GradSIS due to changes in how funding is now
   managed.


Optimization to Free Up Your Time

   -

   GSMS automates some of the manual tasks you perform, such as the loading
   of fees and NRT, to minimize user entry errors and chart updates.
   -

   GSMS reduces red tape in business processes. Program staff may flag
   applications with no funding in bulk and forward them to the Graduate
   Division, eliminating the need for Graduate Advisor approval. They may also
   apply templates in bulk for applicants with the same residency type.
   -

   There is more flexibility at the start of building charts to ensure that
   the process does not have to start with Graduate Staff; Graduate Advisors
   can now initiate the process.
   -

   The revision process will now have a dedicated feature for program
   self-service.


Real-time Data to Inform Decisions

   -

   Google Data Explorer helps programs and colleges track real-time numbers
   to ensure targets are not exceeded. This also enables real-time tracking of
   college spending.


Improved Visibility

   -

   Users can see where all charts are in the recruitment process.



Training plans are being developed for the launch of the Employment and
Financial modules, and will be communicated soon. In the meantime, we
