[Campus Notice] Important Information About Your UCR R’Mail Account

UCR Information Technology Solutions tech-bulletin at lists.ucr.edu

Key Takeaways:

   -

   The new R’Mail storage limit for alumni is 10 GB, effective on September
   3, 2024.
   -

   The 10 GB storage limitation is applied to alumni one year after their
   degree is conferred in Banner. Alumni who graduated any time before Fall
   2023 are the first ones to be affected by this change.
   -

   Accounts that exceed 10 GB of storage use on the date the quota is
   applied (one year after degree conferment) will be reset to adhere to the
   University’s new cloud storage policy
   <https://ucrsupport.service-now.com/ucr_portal?id=kb_article_view&sysparm_article=KB0012202>.
   This process permanently deletes all data stored within the account.
   -

   If you graduated in Fall 2023 or Winter 2024, you are encouraged to take
   steps now to ensure you keep all important data when the 10 GB limit is
   applied to your UCR account.

Dear UCR Highlander,

This is a follow-up to our previous communication (attached) regarding your
UCR R’Mail (Email, Calendar, Drive, Photos, etc.) storage quota. As you may
know, the new R’Mail storage limit of 10 GB for alumni will take effect on
September 3, 2024. Please note that the 10 GB storage limitation is applied
to alumni one year after their degree is conferred in Banner. That said,
alumni who graduated any time before Fall 2023 are the first ones to be
affected by this change.

As a recent UC Riverside graduate, you have one year from your degree
conferment date to export any files, folders, email attachments, or
pictures you wish to keep. For example, if your degree was conferred on
December 15, 2023, the 10 GB storage limitation will be applied to your
R’Mail account on December 15, 2024.

To prepare for this change, you are encouraged to review the data you are
currently storing and practice diligent storage hygiene. Here are helpful
tips to manage your UCR data storage:

   -

   View your current storage usage <https://drive.google.com/drive/quota>.
   -

   Set up email forwarding
   <https://support.google.com/mail/answer/10957?hl=en#zippy=%2Cturn-automatic-forwarding-on-or-off>
   to help ensure you do not exceed the storage limit in the future.
   -

   Use Google Takeout to export your data from your UCR Google account
   <https://ucrsupport.service-now.com/ucr_portal/?id=kb_article_view&sysparm_article=KB0012120>
   .
   -

   Transfer ownership of files/folders
   <https://support.google.com/drive/answer/2494892?hl=en&co=GENIE.Platform%3DDesktop#:~:text=Open%20a%20Google%20Docs%2C%20Sheets,Transfer%20ownership.>
   containing UCR data (especially research data) to an individual with an
   active University role (e.g., a faculty or staff member).
Alternatively, move
   collaborative files/folders to a Google Shared Drive
   <https://ucrsupport.service-now.com/ucr_portal/?id=kb_article_view&sysparm_article=KB0012156>
   managed by individuals with active University roles.
   -

   Take note of your degree conferment date!

While all UCR alumni are entitled to retain access to their R’Mail account,
accounts that exceed 10 GB of storage use on the date the quota is applied
(one year after degree conferment) will be reset to adhere to the
University’s new cloud storage policy
<https://ucrsupport.service-now.com/ucr_portal?id=kb_article_view&sysparm_article=KB0012202>.
This process irrevocably deletes all data stored within the account. It is
critical to note that there is no way to recover the data once it’s been
deleted and, as a result, UCR will not be able to assist you with this
matter. Moreover, if the 10 GB limit is reached after the new quota has
been applied to your account, you will not be able to add or edit data,
which may impact the ability to send and receive email attachments. You are
strongly encouraged to take the above steps to clean up your data to help
ensure that important information is not lost.

If you have any questions or concerns related to your alumni R’Mail
account, please contact ITS at (951) 827-4848 or submit a ticket
<https://ucrsupport.service-now.com/ucr_portal?id=ucr_guest_ticket>. Thank
you for your attention and understanding.

Sincerely,
