Dear Campus Phone User,
This is a reminder that your telephony service will upgrade to Zoom Phone
Services tomorrow, August 31, 2023. Please carefully review the following
details to ensure a seamless transition experience.

The Zoom Phone Project Team will provide live support during Office
Hours on August 31, 2023, from 8:00 AM-3:00 PM (PDT). Please call (951)
397-2710 or join the Zoom meeting <https://ucr.zoom.us/j/6319685238> if
you have any concerns post-Go-Live.
User Experience During Deployment

Activation: Upon activation, you will receive an email notification with
a link to set up and start using Zoom Phone Services, which will replace
your existing telephony hardware. You may experience intermittent call
issues for a few minutes during the transition period. This is normal as the
numbers are being ported from one carrier to another.
- Phone icon in Zoom application: Zoom Phone will be accessed via your
existing Zoom application (the same client used for Zoom meetings). Once
activation is complete, all calling activities (inbound and outbound) will
be routed through a new phone icon in your Zoom application (see below).

Current desk phone: Your current desk phone will be inoperable upon
activation of Zoom Phone Services on August 31 at 8:30 AM (PDT). Zoom Phone
does not require a desk phone.

Voicemail: Your voicemail greeting, voicemail messages, and speed dials
will not be transferred from your current phone to your new Zoom Phone
account. Please watch this video

to set up your new voicemail.

Since voicemail messages will not transfer to your new Zoom Phone,
please make sure to listen to all unread voicemails and manually document
any information needed prior to the cutover date.
Equipment

As part of our commitment to sustainability, the ITS Telecom/Network
team will contact each Department and arrange to pick up existing
handsets. Please
note that desk phones will not be replaced because Zoom Phone does not
require a physical phone to place and receive calls. You will be able to
place and receive calls using your device’s microphone and speaker
(alternatively, if you currently use a headset to conduct Zoom meetings,
the headset can be used as the microphone/speaker).

If you determine that your device is not sufficient and a physical
phone is required, a Telecom work order

If needed, please speak to your unit administrator about
purchasing a compatible
headset <https://its.ucr.edu/headset-standards> (Note: Any headset
that is currently being used for Zoom video conferencing will
work for Zoom
Phone—no changes are needed).
