Here are the meeting notes from the PPS Users' group meeting on
Wednesday, September 12, 2007 @ HMNSS 1500 from 10:00 am - 11:30 am.  

 

I.       Defaulting employees to Online Earnings Statement effective
October 1, 2007 pay check (Gabe Nwandu)

Beginning with September Payroll (October 1, 2007 pay check), employees
with direct deposit will be directed to access their earnings statement
on-line through At Your Service Online (AYSO),
https://atyourserviceonline.ucop.edu/ayso/
<https://atyourserviceonline.ucop.edu/ayso/> .   This is part of the
University of California Employee Systems Initiative (ESI) project to
provide better security and conserve resources.  Employees who choose to
continue receiving paper copies of their earnings statement or cannot
access it online should opt-out through AYSO or by contacting their
departmental Payroll/Personnel Preparer.  This information will be
shared with employees via Scotmail.  The memo with complete instructions
how to logon to AYSO has been distributed via PPS-NEWS.

 

Here are the instructions on how to change the default from "Y" (online)
to "N" (paper).

1.	Logon to PPS and type "ECHK" on 'next func'; tab to the name
field and type employee's last name, first name {enter}
2.	Tab to 'Online Earnings Statement', type 'N' {enter}
3.	Message 'U0001 input accepted' will be issued by PPS
4.	Press 'F5' to complete the update.

 

II.    RX/TX low-wage increases effective 4/1/07 (Roberta Nardico)

RX/TX low-wage increases effective 4/1/07 will be processed and paid on
the 10/1/2007 pay check.  The retroactive pay from 4/1/2007 - 9/30/2007
will be paid on the 10/5/2007 MA payroll. 

 

III. K5 Range Adjustment effective 10/1/07 (Roberta Nardico)

The K5 range adjustment increase effective with October earnings will be
processed in September to allow enough time for the processing of the
October merit increases.

 

IV.  Description of Service (DOS) codes for SMG/SLCG employees (Sheila
Morris)

Sheila Morris is the Senior Leadership Compensation Group (SLCG)
Coordinator for the campus.  She talked about the appropriate DOS codes
that should be used for the SLCG.  Category of employees who can be SLCG
members are Chancellor, Executive Vice Chancellor, Vice Chancellors,
Academic Deans, and Other Designated Positions (e.g., University
Librarian, Campus Counsel, and Coaches).  The primary purpose of the DOS
code is to drive the derivation of gross pay.  Most frequently used DOS
codes for SLCG members are REG (Regular Pay), STP (Stipend) and WOS
(Without Salary).  By Agreement (BYA) DOS code may not be used without
prior approval by Human Resources.  If you wish to use a DOS code that
is not frequently used, please contact SLCG Coordinator Sheila Morris in
Human Resources prior to performing the PPS entry.  Sheila can be

V.     Staff Merit Process for 2007/08 (Cynthia Seneriz)  

Cynthia talked about the upcoming wage implementation actions for staff
employees.  Please see the implementation schedule below.  The web merit
application will be used this year to process the non-represented PSS
and MSP merits; represented police officers (PA) and skilled crafts (K5)
merits.  Training on how to use the system has been completed.
Departments are to make sure HEERA codes are correct.  Use screen 'EPER'
to make a change if necessary before September 19, 2007.  Departments
should not make any changes to distribution lines for non-represented
employees from September 20, 2007 until after October 15, 2007 when the
database will be updated with the new rates.  Here's the link to the
