[Poscgrad] Annual Mentoring and Evaluation Form

Dear graduate students,

I hope everyone's summer is off to a good start.

I am writing to remind each of you to complete your Annual Mentoring and
Evaluation form via R'Grad <https://rgrad.ucr.edu/app/> ASAP so that your
advisor has adequate time to complete and submit your annual evaluation.
Please remember that Graduate Division will put a hold on your fall
registration if you they do not receive your evaluation by the September
deadline. I've attached a PDF of the form content in case anyone prefers to
preview it before initiating the online form.

*From Graduate Division:*

The Annual Mentoring and Evaluation is meant to help establish good
communication between faculty and students, ensure the timely completion of
degree objectives, and help avoid problems resulting from misunderstandings
about rules, procedures and academic expectations within graduate programs.

These evaluations are coordinated by the faculty Graduate Advisor in each
program acting with the assistance of a the student's major professor
and/or a graduate committee. The review includes a summary of the quality
of the student's academic work for the year and academic objectives for the
next period. It is useful to include discussion of any unusual problems
which an individual student is experiencing (i.e., problems with research
techniques or scholastic difficulties and the prognosis for overcoming
them, warning if students are taking overly long in attaining their
educational goals, personal problems affecting the student's work, problems
created by outside occupational demands, etc.). Additionally, this would be
an appropriate place to congratulate students on accomplishments and honors
received by them during the year.

The Graduate Division and the student receive copies of the review each
year. To assist with this process, the Graduate Division, in collaboration
with the Graduate Council, has created the *Annual Mentoring and Evaluation*.

*Who can see the AME petition in R'Grad?*

   - *Only students can access and initiate the petition.*

*What is the routing order for the AME? *

   - Step 1: Student completes the Annual Mentoring and Evaluation (AME) in
   R'Grad <https://graduate.ucr.edu/rgrad.ucr.edu>.
      - (optional) If additional collaborators are required to be part of
      the annual student review, they can be added into the routing. They have
      the option to add comments regarding the student's academic progress.
   - Step 2: Student's major professor completes information regarding the
   student's progress. If the student doesn't have a major professor yet, the
   Graduate Advisor will complete this portion.
      - If an internal program evaluation has already been completed, that
      can be attached here.
   - Step 3: The AME returns to the student to review the assessment by the
   major professor and any collaborators.


   - Step 4: Graduate Staff review to track student progress and note
   completion of the AME for students in the program.


   - Step 5: Graduate Advisor (DGS) review for final approval.


   - Step 6: Graduate Dean/Graduate Academic Affairs review.
      - The AME for students making satisfactory progress will continue
      through the routing process and be completed without review from the
      Graduate Division. All AMEs with unsatisfactory progress will be reviewed
      by the Vice Provost and Dean of Graduate Studies.
