[Orgvpdue] Welcome Week 2025 Event Promotions

Dear DUE Colleagues,

University Relations is requesting assistance in promoting Welecome Week
Events. Please follow the steps below if you'd like to promote your
event(s).   If you have any questions, please let Genesis Gonzalez know at
genesis.gonzalez at ucr.edu.



Campaign Goal: Welcome new/returning students to campus and encourage them
to discover resources, explore the campus, meet their community, and have
fun by ensuring they are aware of all Fall 2025 events occurring during
Week 0 and Week 1.



   - How Your Team Can Participate:
   -

1. Ensure all Welcome Week 2025 events are submitted to the UCR Events Calendar
(events.ucr.edu) <https://events.ucr.edu/> by September 12, 2025.

   - To be considered a Welcome Week event, the event date must fall
   between September 20 (first day of housing move-in) and October 5 (end
   of Week 1).
   - We will only share events.ucr.edu links, so if your event exists on
   Instagram or other platforms, please also add it to the campus’
   preferred events calendar.
   - If you have not yet completed your planning stage, please submit your
   event to the UCR Events Calendar with “save the date” type messaging and
   return to your listing before the article is published on/around Sept.
   17 to add event details.

2. After your event submission has been approved, add your events/s to the WW25
Confirmed Events

spreadsheet.

   - If your event is already live on the Calendar, please add it to the
   spreadsheet.
   - If you do not plan on hosting any events, please let me know, so I
   know you received this email.
   - Note: A few of you requested a universal calendar to avoid overlapping
   events, but it’s inevitable considering we have 50+ groups participating
   over only two weeks. The best I can do is share this spreadsheet. Please
   don’t get too stuck on this issue and pick a date/time that works best
   for your target audience. Waiting for other departments to list their
   details might prolong your planning and result in your event not being
   shared in time.

How University Relations will Promote your Event:

   - They will publish an article around Sept. 17 (similar to WW24
   <https://news.ucr.edu/articles/2024/09/18/back-school-ucr-welcome-week-2024>
   ) that bundles all WW25 events in a digestible format.
   - We’ll link to the article from @UCRIVERSIDEOFFICIAL
   <https://www.instagram.com/ucriversideofficial> and campus LCD screens
   and share some events via stories.
   - We’ll boost student interest with a UCR Bookstore giveaway.
