Hello all,

I was recently contacted by a BioRender representative and had a
conversation about how BioRender is currently being used across UCR.

Several labs and individual researchers in our department may already be
using BioRender for manuscripts, presentations, teaching, graphical
abstracts, and other research materials. Individual licenses are relatively
expensive, and if there is sufficient interest within the department, a
group license could substantially reduce the cost per user.

I also learned that other departments at UCR already maintain group
BioRender licenses, so there may be an opportunity for us to explore a
similar arrangement if enough people are interested.

I am forwarding the information from the BioRender representative below for
reference. If you or members of your lab currently use BioRender, have an
individual subscription, or would be interested in access through a group
license, we could explore whether a group subscription model would be
beneficial.

Depending on the level of interest, we can get back in touch with BioRender
to obtain additional information and explore which licensing option might
make the most sense for the department.

*Group License Structures:*

*Option 1 - Named User:* Licenses are purchased in bulk and assigned by an
administrator to specific individuals to grant access. Compared to our
Individual User License, which you can purchase ad hoc through our website
at $420/user/year, this license model starts at 20 seats and is discounted
on a tiered basis:

20-99 users = $215.40/user/year
100+ users = $205.40/user/year


I've attached a quote for the minimum 20 users. It can be easily updated
depending on how many seats you need. This option makes most sense if you
plan on having each user pay for their own seat, or know who exactly from
the group wants access.

This option is also a good fit if only a subset of labs wishes to
participate initially, without requiring department-wide approval.

*Option 2 - Department-wide: *Premium access will be granted to all
individuals within the department with no restrictions, and minimal
administration required. Pricing is fixed for each year, and is based on
the number of users who actively use the platform. For Year 1, we estimate
active usage based on the size of the department – benchmarking against
other groups of similar size, scope, and research intensity. In Year 2
onward, pricing is based on actual usage in the year prior.

This license model works best when central or pooled funding is available
and achieves the lowest cost per user.

I've attached the quote for this license model here. As outlined in the
quote, the cost is based on my Proposal Team's estimate that 35 users will
be active on the license in the first year, so you would pay a fixed fee
for the year that's equivalent to 35 seats, but all ~100 researchers in
Entomology can access it!


*Other Group Licenses at UCR: *
The Department of Molecular, Cell and Systems Biology has maintained a
department-wide BioRender license since 2022, managed by Dr. Michael Adams.
Their current license cost is $11,847/year. This may serve as a useful
internal reference when evaluating funding mechanisms and procurement
within UCR, as the department has already established BioRender as an
approved departmental resource.
