Good Afternoon,

Many of you may have received emails regarding the use of Zoom Phone instead of land lines. Unfortunately, we are not privy to the timing of the rollout or the order of the list.

The phone lines in the labs will remain as land lines. If any have already transitioned to Zoom, we have been informed by ITS that those specific situations will be remediated.

Moving forward, Adrian Valones, adrian.valones at ucr.edu<mailto:adrian.valones at ucr.edu>, is the contact to submit communication work orders rather than Barbara. However, we do not have the authority to prevent your phone lines from moving to Zoom Phone (we have tried!).

Please continue to work through ITS directly for concerns related to this migration. Let Adrian know if you are instructed to submit any system work orders.

Best,

Kathy J. Carrington

Subject: [Campus Notice] Reminder: Zoom Phone Migration on August 31, 2023

Dear Campus Phone User,

This is a reminder that your telephony service will upgrade to Zoom Phone Services tomorrow, August 31, 2023. Please carefully review the following details to ensure a seamless transition experience.

What You Need to Know

Training Resources

  * If you need a training refresher, watch this 5-minute Zoom Phone Introductory Training<https://www.youtube.com/watch?v=Asc8OOLhRcc> video on how to quickly set up your Zoom Phone.
  * The full recording<https://www.youtube.com/watch?v=NEbJ3IRSfko> of the Zoom Phone training delivered on August 22, 2023 is accessible through the Zoom Phone Services webpage<https://its.ucr.edu/zoom-phone-services>.
  * Visit the Zoom Learning Center<https://learning.zoom.us/learn> for additional training resources (watch video tutorials<https://learn-zoom.us/show-me-min?search=&sortorder=NAME%20AZ&category=Zoom%20Phone> and read how-to articles<https://support.zoom.us/hc/en-us/articles/360028936531#h_0d9c113c-ee80-4abf-a0df-91ed655da209>).
  *   Read UCR’s Zoom Phone FAQs<https://its.ucr.edu/zoom-phone-services#Zoom-FAQ>.
  * The Zoom Phone Project Team will provide live support during Office Hours on August 31, 2023, from 8:00 AM-3:00 PM (PDT). Please call (951) 397-2710 or join the Zoom meeting<https://ucr.zoom.us/j/6319685238> if you have any concerns post-Go-Live.

User Experience During Deployment

  * Activation: Upon activation, you will receive an email notification with a link to set up and start using Zoom Phone Services, which will replace your existing telephony hardware. You may experience intermittent call issues for a few minutes during the transition period. This is normal as the numbers are being ported from one carrier to another.
  * Phone icon in Zoom application: Zoom Phone will be accessed via your existing Zoom application (the same client used for Zoom meetings). Once activation is complete, all calling activities (inbound and outbound) will be routed through a new phone icon in your Zoom application (see below).

  * Current desk phone: Your current desk phone will be inoperable upon activation of Zoom Phone Services on August 31 at 8:30 AM (PDT). Zoom Phone does not require a desk phone.
  * Voicemail: Your voicemail greeting, voicemail messages, and speed dials will not be transferred from your current phone to your new Zoom Phone account. Please watch this video<https://youtu.be/Asc8OOLhRcc?feature=shared&t=159> for guidance on how to set up your new voicemail.

     * Since voicemail messages will not transfer to your new Zoom Phone, please make sure to listen to all unread voicemails and manually document any information needed prior to the cutover date.

Equipment

  * As part of our commitment to sustainability, the ITS Telecom/Network team will contact each Department and arrange to pick up existing handsets. Please note that desk phones will not be replaced because Zoom Phone does not require a physical phone to place and receive calls. You will be able to place and receive calls using your device’s microphone and speaker (alternatively, if you currently use a headset to conduct Zoom meetings, the headset can be used as the microphone/speaker).
  *   Equipment alternatives:

     * If you determine that your device is not sufficient and a physical phone is required, a Telecom work order<https://ucrsupport.service-now.com/ucr_portal/?id=sc_category&catalog_id=6dc6382437e8cb40a2e983dcb3990e88> must be submitted. Please read the Zoom Phone FAQs<https://its.ucr.edu/zoom-phone-services#Zoom-FAQ> for more details.
     * If needed, please speak to your unit administrator about purchasing a compatible headset<https://its.ucr.edu/headset-standards> (Note: Any headset that is currently being used for Zoom video conferencing will work for Zoom Phone—no changes are needed).

To learn more about Zoom Phone Services, please visit the Zoom Phone Services webpage<https://its.ucr.edu/zoom-phone-services>. If you have questions or concerns, you may reach the Zoom Phone Project Team via email at zoomphonepilot at ucr.edu<mailto:zoomphonepilot at ucr.edu>.
