is live, communication from the Dean's Office Graduate Academic Affairs
will be coming out soon on a timeline when programs can issue the fall
employment offers.  Thanks for your patience and please hold off on sending
the offer letters for now.  Thank you!

Dear Colleague,

We are pleased to announce that the Graduate Student Management System
(GSMS) Employment Module is now live! To request access to GSMS, please get
in touch with your department System Access Administrator (SAA).

Job aids, recorded training sessions, and the GSMS knowledge base are all
available on the GSMS training site <https://goto.ucr.edu/gsms-training>.
Please note that access to the training site is limited and may require VPN
connection. If you are unable to access the training site, please send an
email request to gsmsfeedback at ucr.edu.
Next Steps: Using GSMS Employment

You can now use the Employment Module in GSMS to prepare Fall 2026 offers
and to perform the following actions:

   -

   Manage and sync departmental positions
   -

   Review and assign eligible students to positions
   -

   Process, extend, and revise Appointment Letters
   -

   Create and assign descriptions of duties (DODs)
   -

   Create and publish applications
   -

   Review, approve, and finalize applications


Note: When you log into the system, the actions available to you are based
on your role and assigned permissions within the system.

Apart from completing work from the previous term, you can also expect to
begin moving away from using TA Online or your current offer management
system in your day-to-day operations.
Next Steps for Faculty

Faculty Supervisors are encouraged to visit the GSMS training site
<https://sites.google.com/ucr.edu/gsms-training-materials/home#h.cj9fmeqxjfo2>
and review detailed job aids on their role in creating, editing, and
completing the description of duties (DODs) for their assigned offers.

Specifically, Faculty Supervisors will now perform the following actions
within gradsms.ucr.edu (UCR login required):


   -

   View offer details
   -

   Add a DoD to an offer
   -

   Edit existing DoDs
   -

   Copy a DoD from a DoD in the Current Offer Record (ASE position)
   -

   Copy a DoD from a Previous Offer (for ASE and GSR positions)
   -

   View current and historical Appointment and DoD letters in an offer

Join the GSMS Office Hours

The Graduate Division and ITS will hold a series of virtual office hours
for GSMS Employment users. If you have any questions or concerns regarding
the new system, please join us on any of the following dates to receive
direct assistance from the project team:
