Programs Coordinator And Marketing Assistant
Inlandia Institute seeks an innovative, reliable, and community-centric individual who is eager to assume the unique role of Programs Coordinator and Marketing Assistant. The coordinator will partner with key stakeholders to harmonize, promote, and assess our core programs as described below. The coordinator will also be responsible for ensuring that all events reflect Inlandia’s ongoing commitment to expand literary awareness and appreciation in the region.
About Inlandia Institute
The mission of the Inlandia Institute is to recognize, support, and expand literary activity in all of its forms in the Inland Empire by publishing books and sponsoring programs that deepen people’s awareness, understanding, and appreciation of this unique, complex and creatively vibrant region.
The Inlandia Institute has five core programs through which it fulfills its mission: Public Literary and Cultural Events, Inlandia Literary Laureate, Adult Creative Literacy, Children’s Creative Literacy, and Publications. The Institute also undertakes special projects from time to time, and we enter relationships with other organizations and agencies with compatible missions to facilitate, sustain and expand the literary arts throughout the region. Inlandia Institute is a collaborative organization and as such the coordination for Inlandia’s core programs and related marketing is managed by the executive director under the direction of the board of directors, with direct support provided by the programs coordinator and marketing assistant in order for Inlandia Institute to fulfill its mission.

Scope of Work
The coordinator’s primary responsibilities include scheduling, planning, marketing for, and executing public literary and cultural events in support of Inlandia’s five core programs by attending and taking direction from the programs, marketing, and publication committees, attending events, and other duties as required. The coordinator interacts with Inlandia’s staff, partners, affiliates, and presenters as well as the public.
Hours
It is anticipated that it will typically take between 20-25 hours a week to perform these duties most of which occur during non-traditional business hours including evenings and weekends in order to accomplish the program goals, objectives and activities.
Compensation
Programs coordinator and marketing assistant is a part-time position with paid sick leave, unpaid vacation days, and flexible hours based on Inlandia’s needs. Rate of pay is $16 per hour.
Essential Functions
Under the direct supervision of the executive director, this coordinator:
General
· Attends scheduled meetings as required and requested.
· Communicates frequently and regularly with the executive director.
· Arrives promptly and ready to work.
· Represents Inlandia Institute in a professional manner.
Programs
· Corresponds with presenters to ensure timely completion of required documents.
· Coordinates with venue officials and staff on all needs pertaining to the event.
· Coordinates audio/visual equipment and recording and photography for all events.
· Arranges for appropriate refreshments, as necessary.
· Arranges for or acts as official Inlandia Institute event host during public events.
· Arranges for or acts as time-keeper for the program to ensure it remains on schedule.
· Arranges for or assists with venue set-up including tables and chairs (as needed).
Marketing
· Collects marketing content and images from presenters in a timely manner.
· Coordinates with design team and executive director for marketing material creation.
· Identifies marketing vehicles, determines deadlines, and schedules internal deadlines.
· Drafts press releases and creates copy for the Institute’s website and social media.
· Coordinates social media marketing (Facebook, Twitter, Instagram, website) and broadcasting of press releases through local, regional, and national media outlets.
· Assists with distribution of flyers and posters, as needed.
· Helps develop and conduct an audience survey to assess needs, evaluate programs, and recommend program changes, improvements and developments.
Qualifications
Skills Required
· Able to work with minimal supervision.
· Proficient with professional computer applications including Microsoft Office Suite and compatible Google Suite applications as well as new and emerging virtual communication and meeting platforms including Zoom.
· Excellent interpersonal skills and ability to work well in a team environment.
· Excellent communication skills including clear, concise writing in a professional capacity.
· Ability to speak and represent Inlandia Institute effectively and persuasively before the public in large or small groups, either in person or through virtual presentations.
· Analyze situations accurately and adopt effective courses of actions.
· Meets deadlines and is well organized with the ability to maintain thorough and accurate records.
Additional Requirements:
· Must be able to lift, carry, and move up to 50 pounds for event set up and inventory management, to include manipulating cases of books, tables, chairs, and audio-visual equipment.
· Traveling and transporting necessary event supplies and equipment are required.
· Must have own vehicle.
· Must provide valid documentation to verify identity and authorization to work in the United States.
· Must hold a valid California Driver’s license and required insurance coverage.
Desirable Qualifications
· Photographic and videography/video editing skills.
· Proficiency with or willingness to learn design programs including InDesign & Photoshop.
· Previous involvement in an arts and culture community is preferred.
