class="MsoNormal">We are writing to let you know that we will be clarifying our departmental policy regarding TA’ship assignments.</p><p class="MsoNormal"><u class=""></u><u class=""></u></p><p class="MsoNormal">As you probably know, Graduate Division rules establish that some students are not eligible to be TAs. (For details, see below.)</p><p class="MsoNormal"><u class=""></u><u class=""></u></p><p class="MsoNormal">But Graduate Division often waits until days before the start of a quarter to pronounce on whether a student is eligible to TA in that quarter. The Department does not have that luxury, because we have to make our TA contract offers approximately one month before the start of the quarter. Graduate Division’s timing causes delays and last-minute changes that have become too difficult to handle.<u class=""></u><u class=""></u></p><p class="MsoNormal">So we are instituting the following policy:<u class=""></u><u class=""></u></p><p class="MsoNormal"><b class="">Students who, at the time TA assignments are being made for the coming quarter, have not satisfied Grad Division’s and the Department’s normative timeline requirements—especially those who have not advanced to candidacy in a timely way—will be placed at the bottom of the TA ranking. <u class=""></u><u class=""></u></b></p><p class="MsoNormal">This means, in other words, that if, at the time that we assign TAships, it appears that you will be potentially ineligible to TA in the coming quarter, we will unfortunately have to put you at the bottom of the list in terms of priority for a TA’ship assignment. </p><p class="MsoNormal"><u class=""></u><u class=""></u></p><p class="MsoNormal">We encourage all students to familiarize themselves, if you have not already done so, with Graduate Division’s criteria for employment eligibility:</p><div class=""><br class=""></div><ul class=""><li class="">Most often, it is students who are behind their Department’s normative timeline in advancing to candidacy who are considered ineligible by Graduate Division for campus employment. The Department’s current timeline is that students must advance by the fall of their fifth year or quarter 13 (with the exception of international students who began the program before 2019, who must advance by fall of year 4 or quarter 10, else become ineligible for reduced NRT). Graduate Division will typically approve petitions to extend the timeline, up to a maximum of 15 quarters without advancing. </li><li class="">Additionally, Graduate Division <u style="font-weight: bold;" class="">does not allow</u> TA’ship employment beyond 18 quarters (a rule that has temporarily been amended to 21 quarters for the duration of the pandemic, but may revert back to 18).</li><li class="">Graduate Division also <b class=""><u class="">does not allow</u></b> employment for those who do not advance to candidacy after 15 quarters in the program.</li><li class=""><span style="font-size: 10pt; font-family: Symbol;" class=""><span style="font-stretch: normal; font-size: 7pt; line-height: normal; font-family: "Times New Roman";" class=""> </span></span>There may be several other reasons that Graduate Division finds a student ineligible for employment, such as a GPA below 3.0, and so on.</li></ul><div class=""><br class=""></div><p class="MsoNormal" style="margin-left: 47.25pt;"><u class=""></u><u class=""></u></p><p class="MsoNormal">This policy will really only be important when there are more students wanting TAships than there are TAships. In such times, offering a TA’ship at that point to someone who is behind on their normative timeline means we deny another student. <u class=""></u><u class=""></u></p><p class="MsoNormal">Our view, therefore, is that there must be clarity on a student’s employment eligibility for the following quarter by the time we have to make our TA offers which, as you know, is at least thirty days before the start of the following quarter.<u class=""></u><u class=""></u></p><p class="MsoNormal"><b class=""><u class="">For those who are behind normative timeline on advancement to candidacy, this means that:</u></b></p><p class="MsoNormal"><u class=""></u><u class=""></u></p><p class="MsoNormal"><b class=""><u class="">1) if you are eligible for a petition to extend your normative timeline</u></b>, your petition must be approved thirty days (or more) prior to the start of the following quarter, in order to be considered eligible for employment in that quarter. You are responsible for ascertaining whether you are in this situation, and must independently initiate any such petition in advance, without relying on reminders from faculty or staff. </p><p class="MsoNormal"><u class=""></u><u class=""></u></p><p class="MsoNormal"><b class=""><u class="">2) if you are at 15 or more quarters without advancement</u></b>, you must schedule and pass your prospectus defense thirty days (or more) prior to the start of the following quarter, in order to be considered eligible for employment in that quarter.</p><p class="MsoNormal"><u class=""></u><u class=""></u></p><p class="MsoNormal">Please keep in mind that the Department’s ability to make TA offers in keeping with the 30-day deadline depends largely on the status of all the applicants. Most often, it is lack of clarity regarding the status of student applicants that delays our ability to make these offers in a timely way.<u class=""></u><u class=""></u></p><p class="MsoNormal">Our goal is to ensure that we can make timely TA contract offers, and that those who are on track with normative timelines are given priority in TA assignments.<u class=""></u><u class=""></u></p><p class="MsoNormal">Please know that we are all doing our very best to accommodate everyone who needs a TA’ship in a time of shortage.
