I am writing to you with an important fiscal closing deadline for our administrative offices. Please read these deadlines carefully as the deadlines listed in this communication are final. Requests submitted after the deadlines outlined below may not be processed until after July 5. Please let me know if you have any questions and/or concerns.
ALL PURCHASING/TRAVEL/REIMBURSMENTS
BLACK OUT PERIOD JUNE 26th-JULY 5th
NO TRANSACTIONS CAN BE PROCESSED DURING THIS TIME

June 5th
Travel Expense Vouchers
And or travel bookings
Due to the high volume of activity at year-end, travel expense reimbursement requests/receipts must be emailed to physicspurchandtrvl at ucr.edu<mailto:physicspurchandtrvl at ucr.edu>  for processing by 5pm June 5th.  Therefore, all requests must be received by the Department no later than June 5th to allow for processing and corrections if/as needed.
All pending travel/conference you plan to attend in June or July needs to be booked before this date
June 9th
ePay Reimbursement  Requests
Due to the high volume of activity at year-end, ePay payment requests must be emailed to physicspurchandtrvl at ucr.edu<mailto:physicspurchandtrvl at ucr.edu> ePay queue by June 9th at 5:00 p.m. to ensure posting to the Period 12 Ledger.

Therefore, all requests must be received by the Department no later than June 9th to allow for processing and corrections if/as needed.
June 14th
Supply and/or Services Any Orders less than $5,000
In order to be a bona fide encumbrance, a valid purchase order must be issued to a vendor on or before June 14, 2023 by the department.


Please plan your purchases well in advance and submit your requests via eBuy by June 14th. If there are any questions regarding the preparation of your purchase orders, please contact physicspurchandtrvl at ucr.edu<mailto:physicspurchandtrvl at ucr.edu> for assistance.

PROCARD PURCHASING DEADLINE

I am writing to inform you of a very important purchasing/ProCard deadline of June 14th. The campus cutoff for ProCard purchases is on the 14th, and so we must receive all ProCard purchase requests no later than June 14th for internal processing to meet the deadline. Items received after the 14th may not meet the deadline, so we appreciate your cooperation in submitting all requests in advance.

ProCard purchases will resume after July 6th for all items that do not meet the submission deadline outlined above. Please let me know if you have any questions and/or concerns.

Any vendor not in our ecatalog shopping
Any publication charges.
Any outside vendor/internet order
