Dear Physics and Astronomy Personnel,

In preparation for the roof replacement project that is scheduled to commence on June 17th over the 2nd floor of the building and June 27th of the 3rd floor of the building, we ask that you please take the following steps to ensure that your spaces are free of any items that could potentially jeopardize the integrity of the 6 mil plastic protection that will be installed to protect your spaces and personal belongings from hazardous material fallout and contain any ACM from spreading to other spaces:

1. All items including sharp/pointy objects on horizontal surfaces (top of desks, book shelfs, tables, chairs, etc.) are to be removed and stored within your desk or filling cabinets. Placing items under your desk or tables will be allowed but recommend that they are placed inside boxes or containers to reduce the risk of having them accidently compromise the plastic protection. Please email Robert at robert.sanderson at ucr.edu if you need boxes.

2. Any items that could easily be knocked over or off of book shelfs, walls, or desk are to be taken down and stored inside your desk or underneath desks and tables and/or placed against walls. This includes any sharp or pointy objects that could penetrate the plastic protection that will be installed.

3. Smaller office furniture like tables and chairs are to be moved towards walls with chairs pushed under tables and desks.

4. Any items that will be utilized during the summer or personal belongings that are fragile/valuable are suggested to be removed from your spaces and taken home as no access to the spaces will be allowed once the space has been shut down.

***Please note that once the spaces are closed, no access to spaces will be allowed due to risk of exposure to ACM***

Protection and cleanup of the spaces will be as follows:

  *
6 mil plastic sheeting will be laid over all horizontal surfaces (desks, tables, floors, chairs, etc.) and secured to prevent it from shifting once installed. All sheeting edges will be adhered to adjoining floor protection to eliminate any ACM from passing through the different layers of plastic sheeting.
  *
6 mil plastic sheeting will be taped to all walls right below the ceiling and hung down to the floor where it will be adhered to the 6 mil floor protection. This will ensure that the entire space and its belongings are protected from coming into contact with any fireproofing fallout that may occur once demo has been completed.
  *
Demo contractor employees will walk the spaces daily to ensure that protection is intact throughout the duration of the project including providing negative air machines at various locations of the floor to remove any air born particulates from the space.
  *
Once roofing demo has been completed, all ceiling tiles will be removed to dispose of any ACM fireproofing material that may have fallen out during the demo process located above the ceiling.
  *
Any exposed roof metal decking will be replaced with new fireproofing with no ACM.
  *
Any existing ACM fireproofing will be encapsulated.
  *
Ceiling tiles, ceiling grid, mechanical equipment, lights, and any other items located in or above the ceiling will be wiped down to remove any fireproofing fallout.
  *
Air samples will be taken of the spaces to confirm no airborne ACM particulates are present.
  *
Once space clearances are received, all plastic protection will be removed from the spaces

Duration Spaces will not be available:

1. 2nd Floor of Two Story Wing: Closed to occupants from 6/17 to 8/2

2. 3rd Floor of Three Story Wing: Closed to occupants from 6/27 to 9/10

If you have questions or concerns about the roofing project, please do not hesitate to contact me. I will be happy to assist.
