Dear DUE Colleagues,
Fall quarter is just around the corner! The time to welcome students back to campus begins September 18-October 6. University Communications is creating various articles, social posts, etc. that highlight Welcome Week Events. This is a wonderful opportunity to feature the Division of Undergraduate Education and your programs.
If you have any questions, please email Genesis Gonzalez at genesis.gonzalez at ucr.edu<mailto:genesis.gonzalez at ucr.edu>. See instructions from central communications below.
How to Participate:
1. Ensure that all Welcome Week 2024 events are submitted to the UCRCalendar/Localist at events.ucr.edu<https://events.ucr.edu/> by September 13, 2024.
To be considered a Welcome Week event, the date must fall between September 18 (first day of housing move-in) and October 6 (end of Week 1).
We will only share Localist links, so if your event exists on Instagram or other platforms, please also add them to the campus' preferred events calendar.
If you have not completed your planning stage, please still submit your event to the UCRCalendar with "save the date" type messaging and return to your post before the article is published on Sept. 18 and add event details.
1. After your submission has been approved, return to this email and send to Genesis Gonzalez at genesis.gonzalez at ucr.edu<mailto:genesis.gonzalez at ucr.edu>. She will update University Communications.
If you do not plan on hosting any events, please still respond and let me know, so she knows you received this email.
Note: A few of you have asked for a universal calendar to avoid overlapping but it's inevitable considering we have 50+ groups participating over only two weeks. The best I can do is share my WW Event Details<https://o365ucr-my.sharepoint.com/:x:/g/personal/mloeu001_ucr_edu/ETb8t7e9r0FJt6eW5mMcNlABr7jOF70AraTz4KHWRUxnWQ?e=zEQlcg> spreadsheet with you all that lists details w/ major events, like "New Highlander Welcome/Convocation" and "ASPB Block Party" highlighted. Please don't get too stuck on this issue and pick a date/time that works best for your target audience. Waiting for other departments to list their details might prolong your planning and result in your event not being shared in time.
How Unversity Relations will Promote your Event:
* They will publish an article (similar to the one from 2023<https://news.ucr.edu/articles/2023/09/20/back-school-ucr-welcome-week-2023>) that bundles all WW events in a direct and digestible format
* They will link to the article from social media posts and LCD screen promos.
* They will pique student interest with a UCR Bookstore item giveaway.
