[CITL] Action Required: The Organizational Structure Data is Changing

Dear Campus Developer,

One of the goals of the Impact23 program <https://impact23.ucr.edu/> is to
implement the UC-mandated Common Chart of Accounts (CCOA). As such, UC
Riverside has taken steps to change its accounting structure from Full
Accounting Unit (FAU) to Chart of Accounts (COA)
<https://impact23.ucr.edu/chart-accounts-poetaf>.

Due to this transition, there are also changes in the Organizational
Structure Data (Org Data) and in how data is displayed in the Oracle COA
Golden Tree Viewer <https://gtv.ucr.edu/home>. Although the Accountability
Structure is derived from the Activity hierarchy in the new Chart of
Accounts (the Activity segment represents the academic unit or operating
unit responsible for the transition), it is important to note that Activity
codes will not change, but the Activity descriptions may change.

If you are accessing Org Data through org-api or other means, you may
notice the updated text values of select Activity descriptions. This may
show up in different data sources where Org Data is being used, such as
Active Directory.

The new Oracle COA Management system, which manages the COA segments
(including the Org hierarchy), requires every node to have a unique name.
To comply with this requirement, Business and Financial Services (BFS) has
added "Org", "Div", or "Dept" to the end of COA Activity descriptions, as
needed.

Here are examples of changes in the descriptions after the Impact23 Go Live:

Current

   -

   DIV124 - University Library

   D01090 - University Library


After Impact23 Go Live

   -

   DIV124 - University Library Division
   -

   D01090 - University Library Dept


It is important to note that systems or processes that reference and use
the Activity hierarchy in the new Chart of Accounts will continue to work.
However, anything that references the description may encounter issues due
to modified/added values.

If you are managing processes and applications that rely on Org or
Department descriptions text values, you may be affected by this change.
Please refer to the attached Excel Sheet to see the changes in the COA
Activity descriptions.

Each team is encouraged to come up with an appropriate remediation plan.
ITS recommends that developers review any application that uses Org Data or
org-api and make the necessary adjustments to work with the new
data/descriptions text values.

<https://gtv.ucr.edu/home>. You may also refer to the attached Excel Sheet
to review the changes applied to the COA Activity descriptions. For
