The new GSMS employment module is going live the first week of August! The
college will be able to issue appointment letters for fall quarter while
meeting the 30 day compliance notification to ASEs. Please review the
important announcement below, and join the upcoming training and office
hours. Myself, along with Annette Brock, Iselda Salgado, Griselda
Rodriguez, Monica Cardenas, and Sarah Turnbull have gone through the
testing phase these past few months; their time and effort in testing is
much appreciated! I'd be happy to answer questions or refer you to someone

GSMS Employment Launching in August: What’s Changing in the Graduate
Student Hiring Process & Available Support
Dear Colleague,
The Graduate Division, in partnership with Information Technology Solutions
(ITS), is excited to announce that the Graduate Student Management System
(GSMS) Employment Module is going live in the first week of August! Here’s
what you can expect:
Using GSMS for Graduate Student Employment
The overarching goal of the GSMS Employment Module is to create a unified
"one-stop shop" for hiring all academic Graduate Student
Employees—including TAs, GSRs, Readers, and Tutors. Starting August 2026,
the following actions will be performed in GSMS Employment:

Manage and sync departmental positions
-
Review and assign eligible students to positions
-
Process, extend, and revise Appointment Letters
-
Create and assign descriptions of duties (DODs)
-
Create and publish applications
-
Review, approve, and finalize applications
Note: When you log into the system, the actions available to you are based
on your role and assigned permissions within the system.
Programs will use the GSMS Employment Module to prepare Fall 2026 offers.
Apart from completing work from the previous term, you can expect to begin
moving away from using TA Online in your day-to-day operations.

Faculty and Graduate Student Support
In addition to our regular GSMS updates, the project team is working
closely with the Graduate Division leadership and our academic campus
partners to provide support to faculty members who supervise Academic
Student Employees and Graduate Student Researchers.
Faculty members are encouraged to review detailed job aids on their role in
Offer Management. These are available on the GSMS training site

Communication and support will also be provided to current and incoming
graduate students, including guidance on how to navigate the GSMS portal.

The launch of the Employment Module is a significant step toward
standardizing the graduate student employment process across campus and
