Dear CHASS Faculty Graduate Advisors, GSAOs, and FAOs,
Below is the outlined process for submitting the 2026-27 offers to the
CHASS College Approver queue in GSMS. The part of the process that depends
on the College is the same one implemented last year:
Round One:

Submit your offers to the College Approver five business days before
your Graduate Admissions target date. Review the submissions schedule
here

and send your offers by the scheduled *College Approver date* to ensure your
files are prioritized.

Each program may submit up to 50% of the target number, rounding the
total if needed. For example, a target of 5 can submit 5 files + 50% of 5,
which is 2.5 + 5 = 7.5, rounding up to submit 8 offers.

Once offers are approved by both the College Approver and Graduate
Division, the offers from this round will be released to the students.
Round Two:

Graduate Admissions will send another call for the 2nd submission date
and we will request that charts be submitted to the college approver five
business days before this second target date.

In this round, programs may submit waitlisted files of up to 50% of
their target number, rounding up the total if needed. For example, a
Department with a target of 5 will be able to submit 3 waitlisted files in
the second round.

Once these files are pre-approved by the College and Graduate Division,
they will be routed back to the program to hold until a decline is received.

Since these files will already have gone through the pre-approval
process, once you are ready to release a waitlisted offer, you can make a
routing comment that the file has been pre-approved, and the file will be
fast-tracked through final approvals to release the offer.
*Additional Waitlisted students offered outside of the numbers above will
go through the regular review process and may take longer.
Important Reminder: Graduate Programs admitting students beyond their
target numbers will be financially responsible for those additional
admits. Please expect that files will only be reviewed or moved forward
from 8am-5pm, Monday through Friday.
New System and Template Building Session:
Starting this year, Graduate Division will be implementing the new Graduate
Student Management System (GSMS) to process admission offers. We recommend
familiarizing yourself with GSMS before your program’s deadline. Graduate
Division has been having different trainings and office hours to assist
programs with the new system. You may also refer to the following resources:

The admissions target allocations will be sent to the programs by winter
curtailment.
