[Biomed_students_phd] PhD Student Vote needed - Program Oral Qualifying Exam and Final Defense Modality (Vote by Monday, Feb. 26)

Dear BMSC PhD Students,

Sent on behalf of the BMSC Graduate Program Leadership:

The Graduate Program is requesting a mandatory vote for a vital program examination policy. As the campus moves away from COVIC-19 pandemic remote practices, Graduate Council has requested each graduate program to make a decision on the modality for the oral qualifying exams and final defense. Following is the BMSC Grad Leadership's recommendation for the modality, including exceptions. We need input from our current PhD students as well as our faculty.

Please take a moment to review the modality recommendation and submit your anonymous vote no later than Monday, February 26, 2024. We need a response from all enrolled PhD graduate students.

Oral Qualifying Exam and Final Defense Modality Policy Proposal

  *   All oral qualifying exam and final defense must be completed In-Person only.
  *   Exception may be granted by Graduate Advisor only in special cases for committee members and the student.
     *   Students are expected to present the exams "in-person" on campus. If the student is unavailable due to sickness or emergency circumstances, they will be required to reschedule the exam or defense.
     *   A hybrid participation exception will be granted to a committee member (including the chairperson) if they are unable to attend in-person due to personal/family sickness or emergency travel. One committee member will be permitted to participate remote, while the remaining 4 members and the student must attend in-person. If chairperson is remote, one of the committee members will assist with the tasks of the chairperson. The student is expected to present the exam on campus in a video enabled room that supports some members physically present and one member remote.
  *   The mode(s) chosen by a program applies to all students in a program. Specific technical issues or questions of attendance are expected to be resolved by the committee chairperson.
